Planning Process

We will work together to create your perfect ceremony. See below for a timeline of key activities and the latest each should be completed.

Both parties to the marriage agree to provide their original passports during the planning meeting in order to satisfy identification evidence requirements. If either party does not have a passport, they must be able to produce their original birth certificate in addition to valid photo identification (preferably  your driver's license).

Rehearsals are available at a mutually agreed time between the wedding party and Celebrant. Many couples prefer to catch up on the phone 1-2 weeks prior to discuss the details of the day. I am also available to perform an extended rehearsal booking of up to 30 minutes in the Brisbane City Council area or Redcliffe. If your ceremony is outside of Brisbane and you would like a rehearsal at the venue, an additional travel fee will apply.

On your Wedding Day

I will be at your venue 30-45 minutes before to set up the PA system before the guests arrive. I will provide a high quality, battery operated PA system to perform your ceremony. A wireless microphone is provided for venues with a power source available. Alternatively, a corded microphone will be used. My speaker can be used for your ceremony music and for background music 15 minutes either side. Music can be connected via Bluetooth or an auxiliary cable. If you wish to use my speaker for music, you will need to appoint someone to coordinate your music (usually the venue coordinator or a trusted friend). Use of my speaker for music will need to be pre-arranged with me at least 14 days prior to your ceremony.

Please understand that my schedule is contingent on your ceremony commencing within 15 minutes of the agreed upon ceremony time as stipulated in Part 1. If your ceremony commences beyond 15 minutes of the scheduled time, a waiting fee of $60 per half hour or part thereof will apply. This waiting fee will be payable to the Celebrant within 3 business days. If your ceremony commencement is delayed for 60 minutes or more, the Celebrant reserves the right to declare they are no longer able to perform the ceremony and no refund will apply.

If your marriage cannot be solemnised on your wedding day due to a legal impediment, the Celebrant will offer a commitment ceremony instead. Once the legal impediment has been rectified, the parties are able to request a legal marriage ceremony at an additional cost.

After your ceremony, I usually remain at the venue for 10-15 minutes before quietly packing up. It is important you keep your marriage certificate safe - usually with a trusted relative or friend. Sometimes I have more than one wedding booked on the same day. If this occurs, I will ensure no other weddings are booked within 1.5 hours of your ceremony time.

After your Wedding

I will register your marriage with Births, Deaths and Marriages (BDM) in the state you were married - this can take up to 14 business days to complete. BDM do not automatically send a standard marriage certificate when a marriage is registered. A standard marriage certificate is used for official purposes and proof of name change due to marriage. This cost is additional and payable directly to BDM. If you are getting married in Queensland, I am able to request this on your behalf when submitting your registration. It is your responsibility to ensure your email is secure for BDM to send the payment notification and any related correspondence to.  If you do not wish for me to do so, this does not mean you cannot apply for the certificate at a later date.

Following your ceremony, I would appreciate your review of my services to share with couples who may be considering me as their Celebrant. I also encourage you to share photos and/or videos of your wedding ceremony with me to be shared on my website and/or social media.

Privacy Policy

Your personal details are private and confidential, so these are kept safe and secure. I will not pass your information onto other vendors unless requested by you. Your details will only be provided to Births, Deaths and Marriages (BDM) in order to register your marriage.

Change Policy

The date, time and place of marriage is confirmed as detailed in part one of this agreement. The parties agree that changes to these details will not be made without prior consultation and agreement with the Celebrant. Changes are subject to Celebrant availability and may incur an additional cost. Changes must be made in writing via email to marriedbyzoe@gmail.com. Changes more than 31 days prior to the original ceremony date, may incur a cost equivalent to 25% of your invoice. Changes within 31 days of the original ceremony date may incur a cost equivalent to 50% of your invoice.

Cancellation Policy

Please understand that if you cancel your booking, invoice items 1 and 5 are non-refundable. Item 2 is non-refundable after receipt of the NOIM or if you cancel your booking within 62 days of the ceremony date. If you request to have your NOIM transferred to another Celebrant, the request must be made in writing via email to marriedbyzoe@gmail.com and a $100 transfer fee will apply.

Cancellations within 31 days of the ceremony date will incur a cost of 75% of invoice item 3. Invoice item 4 is non-refundable if flight and/or accommodation reservations are required. Otherwise, cancellations within 31 days of the ceremony will incur a cost of 50% of invoice item 4. Cancellations within 14 days of the ceremony will incur a cost of 100% of the full account detailed in your invoice. Cancellations must be made in writing via email to marriedbyzoe@gmail.com in addition to a follow up text message or phone call.

If you have booked me and I am no longer able to be your Celebrant, for instance due to illness or an emergency, I will help you find a Celebrant to replace me and will transfer the paperwork and a portion of fees paid. Please note: the fee transfer is capped at 75% of the account to compensate for costs associated with ceremony preparations including but not limited to: ceremony content creation, paperwork lodging and meetings. Any gap payment between my fee and the replacement Celebrant’s fee will be the financial responsibility of the couple.

Thank you for choosing Married by Zoe - I cannot wait to start planning your ceremony!

With love,
